Spann Systems LLC ("we", "us") operates spannsystems.com and provides AI-assisted follow-up and messaging services to businesses. This policy explains what we collect from visitors to this website, why, and what we do with it.
Information we collect
- Information you give us. Your name, email address, business name, optional mobile number, and whatever you write in a form or a chat on this site.
- Demo conversations. If you run the interactive demo, we store the first name and industry you enter and the messages exchanged, so the demo can function.
- Technical information. IP address, browser type, pages visited, and timestamps, collected automatically when you use the site.
How we use it
- To reply to your enquiry and to provide services you ask for.
- To keep a record of you in our CRM, and to contact you later about our own services, by the methods you agreed to. Every marketing email carries an unsubscribe link, and you can tell us to stop at any time.
- To operate, secure and improve this website and the demo.
- To meet legal and record-keeping obligations, including keeping evidence of consent where you have given it.
Mobile information and text messages
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing to subcontractors in support services, such as customer service, is permitted. All other use case categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We ask for two separate text message consents and we treat them as separate permissions. One covers non-marketing messages about your enquiry, such as appointment reminders and confirmations. The other covers marketing messages about offers and service updates. Neither box is ticked for you, neither is required to submit any form, and agreeing to one is not agreeing to the other. Giving us a phone number on its own is not consent to text you.
When you tick either box we record the date, the time, the page you were on, and the exact wording that was on screen when you agreed. Consent to receive text messages is never a condition of purchasing anything from us. You can withdraw it at any time by replying STOP to any message, or by emailing us. Reply HELP for help. Message and data rates may apply, and message frequency may vary.
Your mobile number and your text message consent are not shared with any third party for their own marketing. The only parties that receive them are the providers who deliver the messages on our behalf, and only so that the messages you asked for can be sent.
How we share information
We do not sell your personal information. We share it only with service providers who help us operate: hosting, email delivery, our CRM and messaging platform, and the AI model providers used to generate replies. They get only what they need to do that work. We may also disclose information where the law requires it.
How long we keep it
Enquiry records are kept for as long as we have a relationship with you and for a reasonable period afterwards. Demo conversations are kept only as long as needed to run and improve the demo. Consent records are kept for as long as we may need to evidence them.
Your choices
- Ask us what we hold about you, and ask us to correct or delete it.
- Unsubscribe from email at any time using the link in any message.
- Reply STOP to any text message to stop text messages.
Email support@spannsystems.com for any of these and we will respond within a reasonable period, and in any event within the time the law allows.
Cookies
This site uses only what it needs to function. We do not run third-party advertising trackers on it.
Children
This site is for business use and is not directed at anyone under 18. We do not knowingly collect information from children.
Changes
If we change this policy we will update the date at the top of this page.
